About the Role

We are seeking a dedicated and detail-oriented Tour Planning & Sales Coordinator to join our team at Wells Gray Tours. This role is integral to our travel planning and sales operations, and the ideal candidate should have excellent organizational skills, geographical knowledge, and a passion for the travel industry. You will play a key role in formatting marketing materials, managing reservations, contracting with hotels and theaters, and providing exceptional customer service to our clients.

Key Responsibilities:

1. Marketing Support:
– Format brochures, edit content, and ensure timely distribution.
– Assist in the creation of marketing materials using Adobe Creative Suite.

2. Data Management:
– Enter tour planning data into the central reservations system.
– Maintain and update the client mailing list using MAIL software.

3. Sales and Reservations:
– Take reservations for tours, process payments, and issue ticket packages.
– Provide exceptional customer service to clients, handling inquiries and cancellations.
– Sell tours in person and over the phone, promoting travel insurance when appropriate.

4. Contracting and Training:
– Contract with hotels and theaters for tour arrangements.
– Train sales staff on tour products.

Location: Hybrid – Work from home 4 days per week and one day per week in the Victoria Office during office hours. Extra hours or days may be required for travel shows or presentations.

Requirements

  • Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop, and Acrobat).

  • Strong writing and editing skills.

  • Knowledge of Microsoft 365 Suite (Outlook, Excel, and Word).

  • Fast and accurate typing skills.

  • Excellent internet navigational skills.

  • Exceptional written and oral communication skills.

  • Strong attention to detail.

  • Effective multitasking abilities.

  • Genuine interest in the travel industry and packaged travel.

  • Solid geographical knowledge of the world and tourism destinations.
